RSVP Settings
Selecting Automatic Registration or Waitlist RSVP?
Meetup allows you to fully automate the RSVP process but most EOs may prefer to manually select players based on the advertised criterion. 

To fully automate the RSVP process, do this:
SELECT Limited to XX attendees (including you) 
SELECT Automatic Waiting List
Uncheck [ALLOW member guests - We DISCOURAGE this]
then select when members may BEGIN RSVP [Now or DATE]

To Control it manually, all you need to do it change the LIMITED TO from [XX] to [1]. That means only you will be on the RSVP, and everyone else will be on the Waitlist. From there, you can manually add players up to your specified number.

TIP: It makes sense to automate all levels games for 18 players!

Game Descriptions are very important!
Items you include in your Game Descriptions will define the type of players you will attract. It is the EOs greatest tool. Use it wisely and be clear about your expectations. 

1.Please specify how you will prioritize RSVP attendees? By Gender, ratings, attendance reliability, positions played?
2. Type of game? Doubles, Sixes running 5/1, 6/2 or middle sets?
3.How many players will you take? 
4.What will be the Net Height?
5.How will the teams be drawn?
6.Length of Games? By time or by score? To 15, 21 or 25?
7.How many games can winners stay on for? 2, 3, Indefinite?
8.How much time for warmups?
​9.Will you collect Payment/Fees? If so, how much?

All the above details when clarified in advance helps for a smoother session come game day. Here's a HKVB approved Game description template to get you started on the right track (Coming Soon)!

 

You must start by asking any one of our admins to give you EO (Event Organizer) access on the website. Again, you can do this by emailing admins@hkvb.org. We will usually get back to you within a day. Once your status is upgraded, you can click into calendar mode to [ADD AN EVENT] on the date your event takes place.

Next, you'll need a title/heading for your event!

[IMPORTANT] How to POST Event Titles. 
Game titles are best when they give the users date, time/duration, location and level of play. Something like [APRIL 2nd. TUE NIGHT 8pm-11pm (3H) INDOOR INT2/ADV ONLY - HK PARK SPORTS CENTRE] describes the event clearly.

TIP: It may seem confusing at first, but when titles are done correctly, members can easily see your events in calendar mode without the need to click into it. That's just good advertising!

 



First, divide the fees up by the number of attendees. Then mark them as no-show anyway even if they removed themselves. This is why we suggest checking the [x]EMAIL EVENT HOSTS when members RSVP box in your meetup. You can always trace back through your email trail.

Someone removed themselves from the RSVP list before the event so I ended up with 1 less player. What do I do?

Email admins@hkvb.org immediately and we can help feature your site on the front page.

My game is a week away and I can't fill it up. What do I do?

Yes. Please do so and just leave a description in your posting that you will be doing that. With a long waitlist, it may discourage players qualified to play to waitlist.

Players NOT meeting the play requirements are signing up to my games. Can I remove them from the waitlist?

You are not obliged to do so but the decision is entirely up to you to swap for them or put the next in line in from the waiting list if he removes himself.

Some player wants to SWAP spots between my game and another EOs game. Do I allow that?

We do not encourage double bookings. If you are nice, you can go out of your way to inform to ask them to choose or else feel free to remove them from your list with an email.

A player is signed up on my game and another game around the same time.

We recommend that all players be registered on HKVB to attend our event. It's free and only takes minutes.

A player wants to bring a friend that is not a member of HKVB to an event. What should I do?

First, make sure your game RSVP matches what you advertise. For example, if you say the game is ALL levels, you should NOT give Advanced players priority and vice versa. Here's a breakdown list of the common used terms:

ALL LEVELS - Everyone can join with equal chance at RSVP

INT - Intermediate 1 and 2s get priority over beginners and advanced

INT/ADV - Intermediate 1 and 2 and ADV get priority

INT2/ADV - Int2 and Advanced only

321 INT/ADV - A combination of 3-2-1 on each team. For instance 3 ADV/2Int2/1Int1 player per team.

League - Only captains are allowed to add their team members. You must be on a team to join.

There are many more that are self explanatory: MENS. WOMENS. COED.REV-COED, ADV only, RATED Only, Unrated Only. If admins see postings that are inconsistent with the advertised play, we will remind you to change the posting.

People are getting upset at me for not letting them in. What did I do wrong?

How Many players should I allow in the RSVP?

That really depends on what type of game. For indoors, we recommend 14 for a 2 hour event and 18 for a 3 hour event. This way, if there are any last minute no shows you still have a game. For beach games, 8 seems like a good number to start with up to as many as you have nets for.

What else should I bring (or ask players to bring)?

Balls, RSVP list, your ID card (or the person whom the court is booked under). Remind players to bring balls too. You need 9 balls to warm up 18 people!

IMPORTANT TIP! Remember, as Event Organizer you make the rules but you must follow the rules you make or else it may get come back and bite you! Be fair and clear!

24 hours before a game, Event organizers have the right to substitute in anyone who responds first from the waitlist because going one by one down the waitlist may be impractical with such notice. EOs can choose from:

1. First to respond (whether or not on the waitlist) or

2. Their position on the waitlist

But EOs should not choose those lower on the waitlist and slower to respond.

*(NEW) Last minute cancellations from RSVP, I don't have time to go down the waitlist!

Yes. Ultimately it is you who are hosting the game. We do ask that if you have special conditions and requests it is communicated clearly in the event details BEFORE STARTING THE SIGNUP PROCESS! And once the event RSVP process has begun, all qualified members should be added in the order of registration to the waitlist (except for no-show problematic members). An acceptable flow to proceed with this would be:

 

1. Book your court.

2. Ask your friends who will join.

3. During setup and posting of your game, add those friends as event hosts or simply add them into the game as confirmed players and in your game description specify the exact amount of players you are claiming as family and friends (ie: Guys, I've added 5 players in addition to myself  so we can practice for our upcoming coed game. Should you wish to RSVP, there are only 6 more spots left)

4. Then open your waitlist for registration. It is imperative that you do this AFTER steps 1-3. And once this has taken place, it should observe the HKVB courtesy for registration. If HKVB receives numerous complaints, your Event Organizer status may be revoked.

*(NEW) I booked a court and would prefer to play with friends (who are also HKVB members), can I pre-register or add them without receiving complaints?
